Open Duke of Edinburgh Adventurous Journey Term and Conditions
Each participant must be prepared with the minimum equipment required as per the gear and equipment list provided.
• Participants are responsible for completing all registration procedures and be formally accepted by the relevant Duke of Ed Award Unit at the appropriate level prior to their Adventurous Journey.
• To guarantee the safety of all participants all medical information must be accurately completed and any medical conditions or requirements clearly advised.
• Each adventurous journey group will be accompanied by Southbound Adventures employees who have agreed to the Duke of Edinburgh’s National Volunteer’s Code of Conduct and have a current cleared NSW Working with Children Check.
• Adventurous journey groups may be comprised of mixed gender participants and will be in single gender tents.
• All participants are responsible for their own belongings while on the adventurous journey. Participants will be liable for any willful damage to or loss of personal property or the property of Southbound Adventures.
• All participants are required to obey directions from Southbound Adventures employees and cooperate with activities as a requirement of the Duke of Edinburgh’s Award (this includes the normal medical, social and behavioral aspects of a participants experience). Failure to cooperate and where this behavior places themselves, other participants or the employees at risk, may be result in the participant having to leave the program. The parent/guardian will be responsible for arranging their transport home at their own cost. In this event all fees paid are non-refundable.
• The nominated fee is inclusive of the expedition only and does not include transport to and from the expedition location or any additional costs.
• All booking forms must be submitted by e-mail no less than 14 days prior to the departure date
• All payments must be made in full prior to the departure date. Payment is to be arranged directly with
Southbound Adventures, please contact our office to make your payment on (02) 4257-4888.
• Any cancellation from the adventurous journey made up to 30 days prior to the departure date will be
refunded in full, less a $50 administration fee.
• Any cancellation from the adventurous journey made within 30 days of the departure date will be refunded
50% of the fee paid.
• Any cancellation from the adventurous journey made within 14 days of the departure date will forfeit all fees
paid, unless the participant’s place is filled from a waiting list.
• Any registration made within 7 days of the departure date will incur a $30 administration fee.
• Any hired equipment for the adventurous journey is non-refundable and will be delivered at the
commencement of program
• Southbound Adventures reserves the right to cancel any program prior to departure, including upon arrival
to the start location, in the event of environmental hazards and/or authorities not permitting the program to go ahead. Participants will be offered the opportunity to join another advertised adventurous journey at the same level in the same calendar year, free of any additional charges.
• During the adventurous journey Southbound Adventures reserves the right to modify or cancel any scheduled activities in the event of an environmental hazards and/or following advice from authorities rendering any areas closed to the public due to potential hazards or dangers.
Inclusions:
• Adventurous Journey planning booklet
• Qualified and experienced Outdoor Educators with knowledge of the local area
• Participant to Instructor staffing ratios in accordance with NSW Adventurous Activity
Standards and industry best practice
• Comprehensive wilderness first aid kits
• Appropriate communication devices including; GPS enabled satellite phone, two way
handheld radios, private repeater stations and mobile phones
• 24 hours ‘On Call’ Manager
• National Accommodation Recreation and Tourism Accreditation: NARTA Accreditation
• Commercial Operators Licensing including: National Park’s Ecopass, State Forest and
Australian Maritime Safety Authority Licensing
• All site usage and camping fees
• Activity specific outdoor equipment where required i.e. Canoes, paddles, PFD’s etc.
• All required outdoor group equipment including; Trangia stoves and fuel, group tarp, rope
and peg bag, hygiene kit (soaps, detergent, scrubbers, toilet paper and sanitary waste
management) water drums and washbowls
• Topographic Maps of the area and compasses
• All Risk Assessments
• Public Liability insurance
Exclusions:
• Personal clothing and equipment as per the attached recommended Duke of Edinburgh gear list
• All meals for the duration of the Adventurous Journey
• 2 – 3 person Tent
Please ensure you list your Southbound Adventures Instructor as your supervisor for your Open Adventurous Journey when logging your journey through the Online Record Book.
Tasmania Overland Track Terms & Conditions:
By booking this journey I acknowledge that:
-All activities are subject to alteration due to prevailing weather conditions or other unforeseen circumstances.
-My child/ren will be prepared with the minimum equipment required as per the “Essential Personal Items” packing list provided
.
-Participants are responsible for completing all registration procedures and be formally accepted by the relevant Duke of Ed Award Unit at the appropriate level prior to their Adventurous Journey.
-All medical information must be accurately completed and any medical conditions (including all pre-existing) or requirements clearly advised.
-Each adventurous journey group will be accompanied by Southbound Adventures employees who have agreed to the Duke of Edinburgh’s National Volunteer’s Code of Conduct and have a current cleared NSW Working with Children Check.
-All participants are responsible for their own belongings while on the adventurous journey. Participants will be liable for any willful damage to or loss of personal property or the property of Southbound Adventures.

Tasmania Overland Track Cancellation Policy
:
The deposit stated above is non-refundable.
-Cancellations made up to 90 days prior to the departure date will be refunded 50% of the total expedition price.
-Cancellations made up to 60 days prior to the departure date will be refunded 25% of the total expedition price.
-Any cancellation made within 30 days of the departure date will not be refunded, 100% of the expedition price will be forfeited.
-Prior to departure Southbound Adventures reserves the right to alter or cancel the program, including upon arrival to the start location due to environmental hazards or conditions imposed by authorities controlling the sites selected therefore not permitting the program from going ahead.
-Southbound Adventures is subject to conditions imposed by Authorities controlling the sites selected. These Authorities may include National Park & Wildlife Services or on site managers in case of privately owned or leased locations.
-During the adventurous journey Southbound Adventures reserves the right to modify or cancel any scheduled activities in the event of any environmental hazards, following advice from authorities rendering any areas closed to the public due to potential hazards or dangers, or in the event of participant’s welfare being compromised. This will be in conjunction with the school representative on the expedition.
-Southbound Adventures has the right to refuse attendance of any participant on the expedition if: insufficient medical information is held for that participant; behaviour of the participant is detrimental to the safety of the group; alcohol or illegal substances are found in the possession of the participant.
Tasmania Overland Track Inclusions:
-Return economy air fares; Sydney to Launceston – (carrier subject to availability of flights)
-All transport costs while in Tasmania
-All National Park entry and permit fees
-Two Southbound Adventures guides and one accompanying School Representative (FOC)
-Lightweight expedition hiking tent (2-3 person)
-75L – 85L Hiking Pack
-Wet weather gear inc. rain jacket, overpants and gaiters
-Trangia fuel stove and all fuel
